Tahoe Donner: IT purchasing
ActiveCare IT

The partnership

A purchasing relationship built around the people doing the work

IT purchasing touches far more than the moment an order is placed. Someone has to choose the right product, check the licensing, track the delivery, and remember what needs attention at renewal. For Tahoe Donner Association in Truckee, California, those details matter to the team supporting its recreation operations.

In May 2025, TDA selected ActiveCare IT as its primary reseller for IT hardware, software, and licensing. The relationship grew from prior experience working with the company’s principal and a desire for purchasing support that felt more responsive to TDA’s needs.

The result is an ongoing partnership with Jeremiah Cottrell, Director of IT, and his team: practical help with technology decisions, competitive purchasing, and regular follow-through on the work around each order.

The challenge

Make the process fit the customer

TDA wanted more flexibility and personal attention than it was finding in large reseller purchasing processes. Price mattered, but so did having a partner who would listen, explain the options, and stay involved when a purchase raised a question or a delivery needed attention.

A useful purchasing relationship also had to look ahead. Software renewals and upcoming operating-budget purchases needed to be part of the conversation, with time to consider the next decision instead of treating each order as an isolated transaction.

ActiveCare IT’s role was to bring those needs together: understand what TDA was trying to accomplish, help select a suitable product, and take responsibility for coordinating the procurement details.

We wanted a purchasing partner who understood how we work and would stay involved. With ActiveCare IT, we can talk through what we need, get help with the options, and have someone following through on the details.
— Jeremiah Cottrell, Director of IT, Tahoe Donner Association

The approach

Stay involved from the first question to the next renewal

The work starts with a conversation about the requirement. When a decision calls for deeper product or licensing expertise, ActiveCare IT brings specialist and distribution resources into that conversation. That gives Jeremiah and his team a path to informed choices before they commit to an order.

Once a purchase is underway, ActiveCare IT coordinates the order and communicates delivery estimates. Proactive check-ins provide a place to discuss status, address concerns, and work through procurement issues as they arise. The personal attention continues after the initial purchasing decision.

ActiveCare IT also works with TDA on its renewal calendar and upcoming operating-budget purchases. Communicating about approaching renewals helps keep the next decision visible, while ongoing coordination gives the team a consistent point of contact across hardware, software, and licensing.

A decision with lasting consequences

Choose the right Windows edition for the ski lodge

The new downhill ski lodge brought a specific purchasing question into focus. TDA wanted reliable, dedicated devices without the disruption of frequent feature changes on machines used for a defined operational purpose. Selecting the operating system was therefore a service decision as well as a licensing purchase.

ActiveCare IT worked with Jeremiah and brought Microsoft technology specialists and distribution resources into the selection process. The consultation considered the hardware and deployment requirements, helping identify Windows 11 IoT Enterprise LTSC 2024 as the appropriate edition. ActiveCare IT then arranged procurement, and TDA deployed the licenses for the lodge devices.

The long-term servicing approach gives these dedicated systems a stable feature baseline. Monthly security and quality updates remain part of maintaining the devices; the benefit is less feature-version change to plan for, validate, and introduce into the operating environment.

The value came from working through the selection as well as arranging the purchase. ActiveCare IT recommended this edition on the basis that it would help TDA save up front and reduce ongoing management costs. Jeremiah later confirmed that the recommendation delivered both results: TDA saved on the initial purchase and continues to reduce its ongoing management costs. The lesson extends beyond this project: a thoughtful purchasing decision considers how a product will be operated and maintained, alongside what it costs to buy.

For the ski lodge, the Windows decision was about how those devices would work day after day. ActiveCare IT helped bring the right expertise into the conversation and guided us toward an option that fit the way we needed to operate.
— Jeremiah Cottrell, Director of IT, Tahoe Donner Association

The value

Competitive purchasing, with service at the center

In the reviewed 2026 orders for annual Office 365 E1, E3, and E5 licenses, TDA’s purchase prices through ActiveCare IT were more than 10% below Microsoft’s corresponding US list prices in effect before July 2026. This is a result for those specific licenses; pricing varies by product and purchase.

The broader value is the service surrounding the transaction. TDA has a partner who helps evaluate options, coordinates with suppliers, shares delivery estimates, and stays engaged with upcoming renewals and purchasing plans.

ActiveCare IT approaches the relationship as a fair deal for both businesses. Competitive pricing supports that relationship, while the company’s central commitment is to work hard on the customer’s behalf and provide attentive, dependable service over time.
